New Agency Onboarding Guide
Salamat po for choosing Wyamate! This guide will help you set up your agency and start using our smart welfare monitoring system. Our goal is simple: "Know who's okay. Help who's not."
1Step 1: Join the Pilot & Set Up Your Agency Profile
Wyamate is currently in an exclusive Pilot phase. Before you can access the dashboard, you must apply to be part of our pilot group. The sign-up process serves as the initial setup for your Agency Profile.
- Click the Join Pilot Program button on the homepage.
- Enter your Agency Name exactly as it appears on your DMW license (our system verifies this instantly).
- Complete the short Welfare Survey so we understand your worker volume and monitoring needs.
- Wait for our team to review and approve your application. You will receive an email with your credentials once approved.
2Step 2: Add Your Welfare Officers
Wyamate is built for teams. You can add your staff members as Welfare Officers so they can monitor their assigned workers and respond to alerts.
- Navigate to the Admin Settings button (gear icon) in the top right of your dashboard.
- Under the Team section, click Manage team.
- Click the + Invite team member button.
- Enter their email address and select the Welfare Officer role.
- Click Send Invite. They will receive an email to set up their own access.
3Step 3: Set Up Your WhatsApp Presence
Wyamate uses WhatsApp to stay in touch with your workers. Setting up your profile ensures workers see your agency name instead of a random number.
- Navigate to Admin Settings > WhatsApp Profile.
- Enter your Business Name (this is what workers will see in their chat header).
- Add a professional description of your services.
- Upload your agency logo.
- Click Save & Sync.
Tip: Using your official logo and name builds trust with your workers, making them more likely to respond to check-ins.
4Step 4: Import Your Workers (OFWs)
To start monitoring, you need to add your workers to the system. You can do this one by one or in bulk using a CSV file.
- Go to the Workers tab in your dashboard.
- To add many workers at once, click the Bulk Upload button.
- Download the Workers Template to ensure all columns (firstName, lastName, phoneE164, etc.) match.
- Upload the file and check for any errors.
- Click Confirm Upload.
5Step 5: Understand Automated Check-ins
Wyamate is not a standard messaging service. All check-ins are fully automated and triggered by worker journey events (like flight dates, employment dates).
- Ensure your workers' deployment dates are accurately entered into the system.
- Check the Upcoming Check-ins on your Dashboard to see the automated schedule.
- The system will automatically send messages based on the worker's status (Pre-departure, Arrival, Monthly, etc.).
